Save Student and Parent WhatsApp Numbers Properly

In short: Save admission enquiries and parent numbers from WhatsApp Web into Google Contacts named by class, batch and year, so each batch is a searchable group and an enquiry from last season is findable when the next admission cycle opens.

The situation

Admission enquiries arrive on WhatsApp months before a session starts, usually from a parent. During the year, batch groups generate more numbers. Staff change, phones change, and the enquiry list from last season is gone by the time the next one begins.

What goes wrong today

The workflow

  1. 1

Open WhatsApp Web on the office computer

Connect the Google account the institute actually uses — not a staff member's personal one, since that list should not leave with them.

  2. 2

Scroll the chat list and each batch group's member list fully

WhatsApp Web renders lazily, so a group member list has to be scrolled to the bottom before the numbers in it exist in the page.

  3. 3

Save each batch under its own prefix

Scan one group at a time with a prefix naming that batch, so the batch is a searchable set in Google Contacts afterwards rather than an undifferentiated block.

  4. 4

Record who the number belongs to

Mark whether a number is the parent or the student. For school-age students this matters constantly and is impossible to infer later.

  5. 5

Save admission enquiries with the enquiry month

An enquiry prefixed with the month and the class being asked about is what makes a pre-season enquiry list usable when the season starts.

  6. 6

Re-scan at the start of each term

New batches, new groups, new enquiries. Duplicate checking means re-scanning adds only what is new.

A naming convention that suits this work

Unknown numbers arrive without names, so they need one. The convention is the cheapest possible CRM, and it works because Google Contacts search matches any part of a name.

Class + batch + year + relationship

  • XII PCM 2026 — Aarav (student)
  • XII PCM 2026 — Aarav's father
  • ENQ X 2610 — Mrs Desai
  • NEET AM 2026 — Sneha (student)

Searching `XII PCM 2026` returns the whole batch, which is how a notice goes to the right set of people. Marking the relationship removes the recurring guess about whether a number is the student or the parent.

Frequently asked questions

Can I save all the parents in a batch group at once?

Yes, for members whose numbers WhatsApp Web renders. Open the group's member list, scroll it fully, and scan. Members already saved under a name show the name instead, and those numbers cannot be read.

Should student contacts be on a personal phone?

Better not. Save them into a Google account the institute controls, so the list does not leave when a staff member does and access can be withdrawn. This is an organisational decision rather than a product feature, but it is the one that matters most here.

Can I send fee reminders to the saved contacts?

Not through LeadSync, which has no messaging capability. Having contacts properly named and batch-tagged does make sending them yourself much faster, because the right set is one search away.

What happens when a batch finishes?

Keep or delete deliberately. Past students are a legitimate contact list for alumni and referrals; retaining minors' details indefinitely with no purpose is not. The batch prefix makes a cohort easy to find and remove in one go.
