Save Candidate WhatsApp Numbers to Google Contacts

In short: Save candidate WhatsApp numbers into Google Contacts named with the role, key skill and experience band, so when a mandate comes in you can search the skill instead of scrolling a chat list. The contacts sync to your phone and survive a device change.

The situation

Candidates reach you on WhatsApp from job posts, referrals and groups. Most are not right for the role they applied to but are right for something later. The chat list becomes an unsearchable archive of CVs you half-remember.

What goes wrong today

The workflow

  1. 1

Open WhatsApp Web on a desktop

Scanning reads the rendered page on your own machine; no candidate data goes to any LeadSync server.

  2. 2

Scroll the chat list to the bottom

Unscrolled chats are not rendered into the page, so they cannot be read. This determines how much of the backlog a run captures.

  3. 3

Save the backlog with a batch prefix

Something like `CAND BACKLOG` keeps the first clear-out identifiable and separate from candidates you save deliberately afterwards.

  4. 4

Annotate from the chat, on a keyboard

Go down the list at contacts.google.com, open each chat alongside it, and record role, primary skill, experience and current location. Use the Company field for the current employer — it is searchable and syncs.

  5. 5

Save and annotate new candidates the same day

The notes you write while the conversation is fresh are the ones that are still accurate when you search them later.

  6. 6

    Re-scan monthly

Duplicate checking means a monthly pass only adds candidates you missed, so it is safe to make routine.

A naming convention that suits this work

Unknown numbers arrive without names, so they need one. The convention is the cheapest possible CRM, and it works because Google Contacts search matches any part of a name.

Role + primary skill + experience + month

  • DEV React 4y 2610 — Anjali
  • SALES FMCG 7y 2609 — Imran
  • ACCT Tally 2y 2610 — Suresh
  • CLIENT Infotech — Ms Nair

Searching `React` returns every React candidate and searching `4y` narrows by experience. A `CLIENT` prefix keeps the hiring side out of the candidate pool, which is the distinction a plain chat list cannot make.

Frequently asked questions

Can I save candidates from a jobs WhatsApp group?

Yes, for members whose numbers WhatsApp Web actually renders. Open the group's member list and scroll it fully. Anyone already in your contacts shows as a name, and that number cannot be read by any tool.

Is it legal to save candidate numbers like this?

Saving a number someone sent you in order to contact you about a job is ordinary business record-keeping. What attracts obligations under data protection rules is how long you keep it, what you do with it, and whether you message people who did not ask to be contacted. Save for a stated purpose and honour deletion requests.

Will this work with my ATS?

Not directly. LeadSync writes to Google Contacts only. Most applicant tracking systems can import from Google Contacts, so the list is portable even though there is no integration.

Can I bulk-message candidates about a new role?

Not through LeadSync, which has no messaging capability. Unsolicited bulk messaging on a personal WhatsApp number is also the quickest route to being reported and blocked. The official WhatsApp Business API is the sanctioned channel for permitted outreach.
