Save Retailer and Dealer WhatsApp Numbers to Contacts
The situation
Orders arrive as WhatsApp messages from dozens or hundreds of retailers, often from a shop owner's personal number. Salespeople add dealers in their own territories to their own phones. The dealer base is effectively the union of several personal chat lists, and when someone leaves, part of it leaves with them.
What goes wrong today
- Orders come from numbers nobody has saved, so you cannot tell which shop an order is from.
- Dealer contacts live on individual salespeople's phones and leave with them.
- No way to see which retailers in a territory have not ordered recently.
- The same shop is saved differently by three people, so the records never reconcile.
- Category and territory exist only in people's heads.
The workflow
- 1
Decide on one company Google account for the dealer base
This is the decision that matters most here. A dealer list on a personal phone is not a company asset, and consolidating it later is far harder than starting right.
- 2
Open WhatsApp Web and scroll the full chat list
Do this per account if orders arrive on more than one number. Only rendered chats can be read, so scroll to the bottom.
- 3
Save with a territory prefix per scan
Scan and save one territory at a time with its own prefix, so the resulting contacts are already segmented instead of needing sorting afterwards.
- 4
Standardise the shop name format
Agree one convention and apply it everywhere. Inconsistent shop naming is what makes a shared dealer list unreconcilable, and it is entirely avoidable.
- 5
Normalise every number to international format
Numbers stored without country codes will not match on future duplicate checks and will not dial from abroad. Fix the format once, at the point of saving.
- 6
Re-scan monthly, and merge duplicates
Several salespeople saving the same shop produces duplicates. A monthly merge pass keeps the list usable.
A naming convention that suits this work
Unknown numbers arrive without names, so they need one. The convention is the cheapest possible CRM, and it works because Google Contacts search matches any part of a name.
Territory + shop name + category
SUR-01 Shree Traders — GroceryAHM-03 Patel Stores — CosmeticsBRD-02 New Medical — PharmaSUR-01 Shree Traders — owner mobile
Searching a territory code returns every dealer in it, which is a route list. Searching a category returns every dealer who stocks it, which is a launch list. Suffixing the role separates a shop's landline from the owner's mobile, which is otherwise a constant source of confusion.
What you get
- The dealer base is a searchable company asset rather than several private chat lists.
- A territory or category can be listed in one search.
- Incoming orders show a shop name on caller ID instead of a bare number.
- The list survives staff changes, because it is in a company account.
- Portable into a distribution or accounting system later, since Google Contacts is a standard import source.
Where this stops being enough
Said plainly, because finding out later wastes your time:
- No order history, stock or credit tracking. Distribution at scale needs real software; this organises who, not what.
- A shared address book is not a shared CRM — there are no assignments, activity logs or reporting.
- LeadSync sends nothing. Order confirmations and follow-ups remain manual.
- Numbers already saved under a name on WhatsApp Web appear as names, and cannot be read by any tool.

Frequently asked questions
Can I consolidate dealer contacts from several salespeople's phones?
Yes, but do it deliberately: have each person export their contacts, normalise the number formats, remove duplicates, and import into one company Google account. Expect duplicates from inconsistent shop naming and plan a merge pass.
Can I save all the retailers in a distributor WhatsApp group?
Yes, for members whose numbers WhatsApp Web renders. Open the group's member list and scroll it fully before scanning.
Can I send price lists to saved dealers?
Not through LeadSync, which is read-only. Dealers who do business with you are a more legitimate audience for messages than a cold list, but bulk sending from a personal number still risks reports. The official WhatsApp Business API is the proper channel for regular commercial messaging.
How do I stop three people saving the same shop differently?
Write down the naming convention and have everyone save into the one company account rather than their own. Then run Merge & fix monthly. The convention matters more than the tool.
