Save Property Enquiries from WhatsApp to Google Contacts

In short: Save every property enquiry from WhatsApp Web into Google Contacts with a naming convention that records the budget, area and enquiry month, so a buyer who messaged months ago can be found by searching those terms when a matching listing comes up.

The situation

Enquiries arrive from portal listings, hoardings, Instagram and referrals, all into the same WhatsApp inbox. Most do not transact immediately — a buyer looking in a particular area at a particular budget will wait months for the right unit. The chat list grows to hundreds of conversations where half the counterparties are bare phone numbers.

What goes wrong today

The workflow

  1. 1

Open WhatsApp Web on your desk computer

Link your usual WhatsApp account. Everything here reads only what the page already shows you, and nothing is sent to any server.

  2. 2

Scroll the whole chat list once

WhatsApp Web only renders the chats you have scrolled past, so the backlog has to be scrolled through before it can be read.

  3. 3

Save the backlog under one batch prefix

Use something like `ENQ BACKLOG` for the first clear-out, so the whole batch is reviewable as a group afterwards and distinguishable from leads you save going forward.

  4. 4

Rename the live buyers on a keyboard

You now have a searchable list instead of a chat list. Work down it at contacts.google.com adding area, budget and requirement — far faster than editing contacts on a phone.

  5. 5

Save new enquiries the day they arrive

Thirty seconds each, while you still remember what they asked for. The detail you add in the first hour is the detail that is still useful in six months.

  6. 6

Re-scan monthly to catch what slipped

Numbers already in the account are skipped, so a monthly run costs nothing in duplicates and catches every chat you forgot to save.

A naming convention that suits this work

Unknown numbers arrive without names, so they need one. The convention is the cheapest possible CRM, and it works because Google Contacts search matches any part of a name.

Requirement + area + budget + month

  • 2BHK Vesu 60L 2610 — Rahul
  • Shop Adajan 1.2Cr 2609 — Mehta
  • Rent 3BHK Pal 35k 2610 — Priya
  • OWNER Citylight 4BHK — Shah

Google Contacts search matches any part of a name, so searching `Vesu` returns every Vesu buyer and searching `2BHK` returns every two-bedroom requirement. The month keeps the list sortable by recency, and an `OWNER` prefix separates supply from demand.

Frequently asked questions

Can I save enquiries from a property group I am in?

Yes, where WhatsApp Web renders the numbers — open the group's member list and scroll it fully. Members already saved under a name show the name rather than the number, and those cannot be read by any tool.

Will this put my buyers into my CRM?

Not directly. LeadSync writes to Google Contacts only and has no CRM integrations. Most CRMs can import from Google Contacts afterwards, which is a step you would do yourself.

Can I message all the saved buyers about a new listing?

Not with LeadSync — it is read-only and has no messaging feature. Broadcasting to saved enquiries is also the main way agents get numbers banned. Message the handful whose stated requirement actually matches the listing.

How many enquiries can I save?

The first 35 are free. Paid plans impose no LeadSync contact-count quota, though your Google account tops out at 25,000 contacts and Google's API rate limits apply to any large run.
